Information you provide
Our forms collect your name and phone number, and the email address, postcode, flooring preferences, rooms, availability and message you choose to provide. A postcode is required for measure requests. We also keep relevant correspondence and staff follow-up notes. Please avoid sending payment-card details or sensitive information in these forms. If you do not provide the required contact details, we cannot process the online request; you can call us instead.
Why we use it
We use your information to answer questions, assess our service area, discuss products and quotations, arrange measures and manage the resulting work. For requests about a potential purchase or service, this is to take steps at your request before entering a contract, and to perform a contract if you become a customer. For general enquiries and necessary business administration, we rely on our legitimate interests in responding to customers and running our business. We rely on legal obligations where records must be retained for tax or other legal requirements. An enquiry does not sign you up to marketing.
Website and form processing
Netlify hosts this website and processes its forms. Hosting and form services may process technical information such as IP address, browser information, request time and referring page to deliver the site, protect it and filter spam. Our legitimate interest is operating a secure and reliable website. Relevant enquiries are available to authorised staff and may be recorded in our staff portal, linked to a customer job and followed up by phone or email. A form submission does not automatically confirm an appointment.
Who receives information
Information is available to staff who need it to handle your request. Our service providers include Netlify for website hosting, forms and the staff portal, and Google for business email. Relevant details may also be provided to people carrying out an agreed measure, delivery or fitting, and to professional advisers or authorities where needed for legal obligations or claims. Public website visitors cannot access staff enquiry records.
International processing
Our technology providers operate internationally, so information may be processed outside the UK. Netlify publishes a data processing agreement covering its processing and international-transfer terms; Google also publishes terms for its business services. You can contact us for information about the arrangements applicable to your request and a copy of relevant safeguards.
How long information is needed
Retention depends on whether an enquiry remains active, results in an order, or is needed for an outstanding complaint or legal obligation. For an enquiry that does not proceed, the relevant criteria are whether follow-up is still expected and whether there is a reasonable need to keep a record of our correspondence. For customer work, accounting, warranty, complaint and legal-claim requirements also apply. Copies may exist in form records, business email, staff records and provider backups. Contact us to ask about a particular record or request deletion; deletion is subject to applicable legal obligations and exceptions.
Your rights
Depending on the circumstances, you can ask for access, correction, deletion, restriction or a portable copy of your personal information. You can object to processing based on legitimate interests and to direct marketing. Where processing relies on consent, you may withdraw it without affecting earlier lawful processing. We do not use these forms to make solely automated decisions with legal or similarly significant effects.
